1. Who we are

Gateway Travel (“we”, “us”, “our”) is a Sydney-based travel business operating gatewaytravel.com.au. We help travellers find and book travel by connecting them with other travel agents, tour operators and booking providers (“Travel Providers”). We act as an introducer/affiliate: when you book, your booking contract is with the Travel Provider, not with us, unless we tell you otherwise.

Business details: Gateway Travel Sydney Australia, ABN 11 001 344 323, Burwood, Sydney NSW. Privacy contact: info@gatewaytravel.com.au

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What personal information we collect

Depending on how you deal with us, we may collect:

  • Contact details: name, email address, phone number, postal address.
  • Enquiry details: destinations, travel dates, number of travellers, budget, preferences and any notes you give us.
  • Traveller details you choose to share with us: such as names of travelling companions, dates of birth, or dietary/accessibility needs. Please only send us what is needed for your enquiry. Passport and payment card details are normally collected directly by the Travel Provider, not by us. Please do not email us passport or credit card numbers.
  • Website data: IP address, browser and device type, pages visited, referring site, and the links you click (including affiliate links), collected through cookies and similar technologies.
  • Communications: emails, form submissions and phone call notes between you and us.
  • Mailing list details: if you subscribe to our newsletter [delete if not applicable].

We may also receive information about you from Travel Providers (for example, confirmation that a booking was made through our referral, for commission purposes).

3. How we collect it

  • Directly from you (enquiry forms, email, phone, newsletter sign-up).
  • Automatically through our website using cookies and analytics tools.
  • From Travel Providers or affiliate networks when a referral results in a booking.

4. Why we collect and use it

  • To respond to your enquiries and help you find suitable travel options.
  • To refer you to Travel Providers and pass on your enquiry details where you ask us to.
  • To confirm referrals and receive commission from Travel Providers.
  • To send you travel information, offers and newsletters (only where permitted, and you can unsubscribe at any time).
  • To operate, secure and improve our website, including preventing spam and attacks.
  • To meet our legal obligations.

5. Affiliate links and Travel Providers

Our website contains links to Travel Providers. If you click a link and make a booking, we may earn a commission at no extra cost to you.

When you leave our site or are transferred to a Travel Provider:

  • Your booking, payment and personal information are handled by that Travel Provider under its own privacy policy. We do not control and are not responsible for how they handle your information.
  • Affiliate links may use cookies or tracking codes set by the Travel Provider or an affiliate network so they can tell the booking came from us.
  • If you ask us to pass your enquiry to a Travel Provider, we will share only the information needed for them to help you.

We recommend reading the privacy policy of any Travel Provider before you give them your information.

6. Who we share information with

We may disclose personal information to:

  • Travel Providers (tour operators, travel agents, airlines, accommodation, cruise and booking platforms) where you ask us to or it is needed for a referral.
  • Service providers who help us run the business, such as website hosting, email, IT support (ServMe IT Limited), analytics and email marketing providers.
  • Professional advisers, and government or law enforcement bodies where required by law.

We do not sell your personal information.

7. Overseas disclosure

Travel Providers and some of our service providers (for example email, analytics or marketing platforms) may be located outside Australia, including in New Zealand, United States, United Kingdom, and Europe. Where we send information overseas we take reasonable steps to ensure it is handled consistently with the APPs. Travel Providers you deal with directly are responsible for their own handling of your information.

8. Cookies and analytics

Our website uses cookies and similar technologies to make the site work, understand how it is used, and track affiliate referrals. We use Google Analytics. You can block or delete cookies in your browser settings, though some features or affiliate tracking may not work as a result.

Our website is protected by security software (Wordfence) which records IP addresses and request details to detect and block malicious activity.

9. Marketing communications

We will only send you marketing emails if you have subscribed or otherwise agreed. Every email includes an unsubscribe link, in line with the Spam Act 2003. You can also contact us at any time to opt out.

10. Security and retention

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including access controls on our systems and secured hosting. No internet transmission is completely secure, so please take care what you send by email.

We keep personal information only as long as needed for the purposes above or as the law requires. When it is no longer needed we destroy or de-identify it. Retention periods: enquiries may be kept for up to 7 years.

If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.

11. Access and correction

You can ask to see the personal information we hold about you, or ask us to correct it, by contacting us at info@gatewaytravel.com.au. We will respond within a reasonable time (normally 30 days). We may need to verify your identity, and may decline access in limited situations permitted by law, in which case we will explain why.

12. Complaints

If you think we have breached your privacy, contact us at info@gatewaytravel.com.au with the details. We will investigate and reply within a reasonable time. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner: www.oaic.gov.au, phone 1300 363 992.

13. Changes to this policy

We may update this policy from time to time. The current version is always on this page, with the “last updated” date at the top.
